A rent receipt should record a real payment for a real rented home. It is not a way to invent rent at year-end. If your employer asks for proof for House Rent Allowance, the safest workflow is to keep the rental agreement, payment trail and receipts consistent throughout the year.
The released KuchhBhi Rent Receipt Generator can format a printable receipt from details you enter. It does not verify the tenancy, transfer rent, calculate your final exemption, file an income-tax return or prove that a landlord received money.
This guide focuses on record keeping and truthful use. Tax treatment depends on the applicable law, tax regime, employment facts and current filing rules; consult a qualified tax professional for your situation.
What an HRA rent receipt proves—and what it does not
A receipt records that a landlord received a specified rent amount from a tenant for a specified period and property. It should match the underlying tenancy and payment evidence.
It does not by itself establish:
that every condition for an HRA exemption is satisfied;
that the details are genuine;
that the claimed amount matches bank or UPI payments;
that the employer has accepted the evidence; or
that the amount reported in a tax return is correct.
The Income Tax Department's ITR-2 guidance says taxpayers living in rented premises may need rent-paid receipts for HRA calculation when they have not submitted them to the employer. Rule 2A governs the amount excluded for eligible HRA under section 10(13A).
The official calculation is not simply “rent paid”
The Income Tax Department summarises the HRA exemption under section 10(13A) read with Rule 2A as the least of three amounts:
actual HRA received;
40% of the relevant salary, or 50% when the house is in Mumbai, Kolkata, Delhi or Chennai; and
rent paid minus 10% of the relevant salary.
The precise salary components and eligibility conditions matter. Official validation guidance for assessment year 2026–27 also reflects this least-of-three approach. A receipt generator should therefore not be treated as an HRA calculator.
Step 1: gather the real tenancy details
Before opening the tool, collect:
tenant's full name;
landlord's full name;
complete rented-property address;
actual monthly rent;
month or period covered by the receipt;
date the rent was paid;
payment mode and transaction reference in your records;
landlord PAN or other details when legitimately required; and
the signed rental agreement or other tenancy record.
Use the same spellings and address across the agreement, payment record, employer declaration and receipt. Differences are not automatically wrongdoing, but unexplained inconsistencies create unnecessary questions.
Do not copy identity numbers from an old message without checking them. Ask the landlord to confirm any tax identifier required by your employer and handle it as personal information.
Step 2: organise proof month by month
Create a folder for the relevant financial year. One practical structure is:
01-Rental-Agreement
02-Payment-Proofs
03-Rent-Receipts
04-Employer-Submission
05-Tax-Return-Working
Use predictable filenames:
2026-04-rent-payment.pdf
2026-04-rent-receipt.pdf
2026-05-rent-payment.pdf
If you pay electronically, save the transaction confirmation or statement page that shows the date, amount and recipient. Avoid putting an entire bank statement with unrelated transactions into a shared folder when a limited record is sufficient.
If you pay cash, obtain a genuine signed acknowledgement at the time of payment. Do not generate twelve backdated receipts later unless the landlord truthfully confirms the payments and dates and the documentation is acceptable to the relevant employer or authority.
Enter the tenant and landlord names exactly as recorded.
Enter the rented-property address.
Use the actual rent amount and correct rental period.
Check the date against the payment record.
Add only information the landlord has confirmed.
Generate the receipt and review the full preview.
Print or save it using the browser options available on your device.
Never type a guessed landlord PAN, invented signature or false payment date. The tool formats your input; it cannot detect fabrication.
Step 4: compare the receipt with the payment trail
For every month, check four fields side by side:
| Field | Receipt | Payment record |
|---|---|---|
| Amount | Same actual rent | Same amount transferred or acknowledged |
| Date | Correct receipt/payment date | Matching transaction date or explanation |
| Recipient | Correct landlord | Correct account or acknowledged cash recipient |
| Period | Correct rental month | Supported by agreement and occupancy |
A payment on a different date may have a genuine reason—for example, paying May rent on 30 April—but record that reason rather than silently altering dates.
If rent changed during the year, preserve the revision agreement, message or notice and issue receipts using the amount actually paid for each period.
Step 5: verify employer requirements before submission
Employers can have their own proof-submission workflow, deadlines and document fields. Check the payroll portal or HR guidance for:
whether monthly or consolidated receipts are accepted;
whether a rental agreement is required;
which landlord details are requested;
whether a signature or revenue stamp is needed for the chosen payment mode and amount;
whether payment proof is required; and
the deadline and accepted file format.
Do not assume a template accepted by one employer will be accepted by another. A beautifully formatted receipt can still be incomplete for a particular payroll process.
A practical example
Suppose an employee rents a flat for ₹18,000 per month and pays through UPI on the third day of each month.
Their April record set could contain:
agreement showing the address, parties and ₹18,000 rent;
UPI or bank proof showing ₹18,000 paid to the landlord on 3 April;
a receipt for ₹18,000 for April with the correct names and address; and
the landlord's acknowledgement or signature where required.
This record set documents the transaction. It does not mean the whole ₹18,000 automatically becomes tax-exempt. The official HRA calculation and chosen tax regime still apply.
Privacy checklist
Rent documents can contain home addresses, signatures, PAN details and payment references. Limit unnecessary exposure:
verify the HR portal or recipient before uploading;
share only the pages and fields required;
do not publish receipts in a public link;
avoid sending a full bank statement when a narrower proof is accepted;
store documents in an access-controlled folder; and
remove downloaded copies from shared devices when appropriate.
The generator should not be used with fake landlord or tenant data for a “sample” that could later be mistaken for a real receipt. If demonstrating the tool, label the result clearly as a sample and use fictional non-identifying details.
Common mistakes
Generating receipts without paying rent: a template cannot create a genuine transaction.
Claiming the receipt amount as the exemption: HRA uses a statutory calculation, not the receipt total alone.
Mixing financial years: organise records by the correct rental and tax period.
Using an incomplete address: match the rented property in the agreement.
Ignoring a mid-year rent change: document the revision and use actual monthly amounts.
Guessing the landlord's PAN: confirm it directly when required.
Submitting edited bank screenshots: preserve authentic records and avoid misleading alterations.
Treating employer approval as final tax advice: payroll acceptance does not override law or filing responsibility.
Frequently asked questions
Can I generate all twelve receipts at the end of the year?
The tool may help format records, but every receipt must correspond to genuine rent paid and landlord acknowledgement. Regular monthly record keeping is safer than reconstructing a year from memory.
Does a rent receipt guarantee HRA exemption?
No. Eligibility and the exemption amount depend on section 10(13A), Rule 2A, the applicable regime and your facts. The receipt is supporting evidence, not the calculation or approval.
Is HRA exemption equal to the rent I paid?
Not necessarily. Official guidance uses the least of actual HRA received, the applicable 40% or 50% salary measure, and rent paid minus 10% of the relevant salary.
Do I need a landlord PAN?
Requirements can depend on the amount, employer process and current rules. Do not invent one. Check the employer's current instructions or ask a qualified tax professional, and obtain the information directly from the landlord when required.
Can I make a receipt for cash rent?
Only for rent genuinely paid in cash and acknowledged by the landlord. Keep the signed receipt and follow applicable documentation requirements.
Does the KuchhBhi tool submit anything to my employer?
No. It creates a receipt document from your input. You review, sign or obtain acknowledgement as required, and submit it separately.
Should I include Aadhaar details?
Do not add identity information merely because a blank space exists. Include only legitimately required fields and protect personal data.
